How to publish a Booking (video). (sorry the quality is not so good but I'm learning as well!)
HOW TO BOOK A ROOM
1. Go to www.sgi-uk-lipc.com
2. Create an account for yourself (if you don't already have one) - you will receive an email telling you your password
3. Click the "Room-Booking Request" link on left hand side. Although anybody can request to book a room, you will need to give the name and phone number of a Chapter Leader or above who approves your request.
4. After you have "saved" (posted) your request, you will have to wait up to 5 days before you see your booking on the calendar.
5. For URGENT requests for bookings: check the website to see if the room is available THEN phone LIPC during opening hours and speak to the Centre Manager.
ROOM BOOKING
1. Booking is the responsibility of the 3 WD members who administer the LIPC Diary/schedule. So they will try and fit-in ("action") every request where possible.
If a room is double-booked then it may be a human error (doesn't happen much!), the bookings are not actioned automatically by computer!
Since 'pending requests' have the applicant's name and phone number etc etc attached, we have made them only visible to the Bookers (data protection etc).
If you notice a mishtake, please alert me using the "Contact us" link on the LIPC website ("Contact Us" is only available to registered users of the LIPC website).
When you have filled-in your details on the Room Booking Form, click "save" (or "preview" if you want to check how your Booking Request will look after it's saved).
2. Applicants (for want of a better word) CAN edit their requests if they do so before their request is "actioned" (see below for workflow).
The '5 day' timespan was set because the Bookers have jobs and personal/SGI responsibilities which mean they can't guarantee to look at the booking requests and assign them to rooms in a shorter timescale. So (eg.) they MAY action the booking requests on a Sunday night or a Tuesday afternoon or whenever, and since there are 3 Bookers who do it in rota; they will action the bookings on different days.
After the Bookers have actioned the booking request it will no longer be editable by the Applicant.
That means that, if your Booking appears in the LIPC calendar, you can NOT edit it; you would then decide yourself whether to change it by making a NEW Booking Request (in which case please include an explanatory note in the "Log message" box in the Room-Booking form), or whether there is not enough time (i.e. less than 5 days).
WORKFLOW FOR EDITING A BOOKING REQUEST
a) Log-in with your username and password
b) Click "Review Requests" in the menu on the l.h.s. This will display all the pending requests that you have made.
c) Click on the Title of the request you wish to edit. This will display all 'revisions' of your request (by date).
d) Click on the (revision) date you wish to edit. This will display the contents of the request you made on that date (a.k.a. the 'revision').
e) Click "Edit this revision". This will display the screen where you can edit all the fields in your Booking Request.
